Location: Hornsby (Sydney) with interstate travel

Job Summary: The Event Production Specialist will be responsible for the planning, coordination, and execution of various events, including festivals, corporate functions, private niche events, and public gatherings. This role requires a detail-oriented individual with a passion for creating exceptional experiences and a knack for managing complex logistics.
Key Responsibilities:
Event Planning & Coordination:
- Develop and manage event plans, including timelines, budgets, and logistics.
- Coordinate with clients to understand their vision, goals, and requirements.
- Source and negotiate with vendors, including audio/visual teams, decorators, and entertainment.
- Oversee the bump-in and bump-out of of event spaces.
Production Management:
- Ensure all technical aspects of events (e.g., lighting, sound, staging) are executed safely and seamlessly by liaising with our event specialists, i.e. riggers, LX and PA crew as appropriate
- Manage on-site production teams, including staff, contractors, and volunteers.
- Troubleshoot and resolve any issues that arise during events.
Client & Stakeholder Communication:
- Maintain regular communication with clients to provide updates and address any concerns.
- Act as the main point of contact during events, ensuring client satisfaction and smooth execution.
- Collaborate with internal teams (e.g., marketing, design) to ensure cohesive event branding and messaging.
Logistics & Operations:
- Oversee the logistics of event materials, equipment, and transportation.
- Ensure compliance with all health, safety, and legal requirements.
- Conduct post-event evaluations and provide recommendations for improvements.
Budget Management:
- Develop and manage event budgets, ensuring cost-efficiency and adherence to financial constraints.
- Track and report on expenses, ensuring accurate financial documentation.
Minimum Qualifications:
- Bachelor’s degree in Event Management, Hospitality, Communications, or a related field (or equivalent experience).
- Minimum of 3 years of experience in event production or a similar role.
- Proven ability to manage multiple projects simultaneously and work under pressure.
- Strong organizational, problem-solving, and multitasking skills.
- Excellent communication and interpersonal skills, with the ability to work effectively with clients, vendors, and team members.
- Proficiency in event management software and Microsoft Office Suite.
- Knowledge of current trends and best practices in event production.
Preferred Qualifications:
- Certification in event planning or project management (e.g., CMP, PMP).
- Experience with various types of events, including corporate, social, and large-scale public events.
- Familiarity with design and technical aspects of event production (e.g., lighting, sound).
- Vectorworks Spotlight Professional (however support will also be provided to attain this certification if required)
Working Conditions:
- Flexibility to work evenings, weekends, and travel as needed.
- Ability to handle physically demanding tasks, including lifting and setting up equipment.
